DDS Staff Travel
Carpooling is required when attending DDS Statewide Training. Cars should be filled to their capacity, unless there are insufficient people traveling from that location to fill the vehicle.
Staff members who are traveling to a location that is an equal or lesser distance than their commute to their duty station will be responsible for driving to the training site with no reimbursement. Fleet vehicles will not be provided to these individuals.
Staff who must travel further than their normal commute, but less than 40 miles one way, will be granted permission to use their private vehicle and claim mileage reimbursement, or they may take a fleet vehicle if one is available.
Staff who must travel more than their normal commute and also 40 miles or further one way will need to reserve a fleet vehicle. If no fleet vehicle is available, a waitlist reservation must be created at your duty station. You will receive an email rejection from Fleester if there are no cars available, or you will be assigned a vehicle if one becomes available. If your reservation is bumped, the travel team will advise how mileage will be addressed. Do not take your own vehicle without prior approval from the travel team.
If you are taking a fleet vehicle, allow for extra time in your schedule in case you encounter any issues with the reservation.
Make sure you have the Emergency Travel number available in case you have any issues with your fleet car. That number is (405) 272-4199.
Hotels will be provided for the night before the event only to those who must travel 120 miles or more one way to attend the event. You will need to submit a travel request form as quickly as possible, but no later than 2 weeks prior to the event.
If attending this training causes you to exceed your normal working hours, you should plan your work week to account for additional time. Please coordinate with your supervisor on how you will adjust your schedule.
